1. INTRODUCTION
On behalf of the whole WXO team, we would like to thank you for agreeing to speak at London Experience Week!
Your contribution to our event is invaluable, and we can’t wait to see, hear and experience the insights and expertise that you will bring to our audience.
This year’s event is proving to be the best yet, with a new venue and unprecedented quantity and quality of content.
Please find below a series of useful facts and tips. Should you have any further questions or concerns, please do not hesitate to reach out via hello@worldxo.org, and we will be more than happy to assist you.

2. RUNNING TIMES
London Experience Week 2026 takes place from 20-24 April 2026, with the World Experience Summit (where you’ll be talking) taking place at Ministry of Sound from 21-23 April.
Here is the running order.
Weekend of Sat & Sun 18/19 April:
- Attendees start arriving. Light networking and sightseeing.
Mon 20 April:
- London Experience Week begins with the WXO Experience Safari – a selection of networking events and behind-the-scenes tours for ticket holders.
- If you’d like to come along, simply sign up via the MeetToMatch event app!
Tues 21 April:
- More Experience Safari events happen in the morning.
- The World Experience Summit starts proper at Ministry of Sound.
- The first day of the Summit is a later start and takes place from 11:00am-6:00pm.
- Registration opens at 10:00am. Doors open at 11:00am.
- There is the World Experience Awards in the evening at the same venue from 7:00pm-9:00pm.
Weds 22 April:
- The second day of the World Experience Summit.
- Registration opens at 9:00am. Doors open at 09:30am.
- Sessions start from 10:00am-6:00pm.
- The Experience Safari continues in the evening.
Thurs 23 April:
- The third and final day of the World Experience Summit.
- Registration opens at 9:00am. Doors open at 9:30am.
- Sessions start from 10:00am-6:00pm.
- In the evening, there is a Wrap Party with a music theme at the Ministry of Sound from 8:00pm til 1:00am.
Fri 24 April:
- While the Summit is over, there will be a full day of Experience Safari events for ticketholders.
Sat/Sun 25-26 April
- For attendees who are staying into the weekend, we have a selection of promotional offers available.

4. DO I NEED TO PRE-REGISTER AS A SPEAKER? WHAT TICKETS DO SPEAKERS HAVE?
As per the Speaker Agreement:
“Accepted speakers get a complimentary Day Pass for the day they are speaking with the option to upgrade to a full Event Pass for 50% off.
“If you are flying in from abroad, you get a full Event Pass.
“If you bought a ticket and are later invited to speak / perform, your original ticket stands – the speaking opportunity as added value, not a replacement. Speaking at LXW gives you added visibility, access, and authority.”
You have already been registered with this in mind.
5. HOW CAN I PROMOTE MY SESSION?
We would appreciate if you could promote your session to your networks!
We will have provided you with a Speaker Badge for you to use on social media. If you haven’t been sent yours, email hello@worldxo.org and make your email ‘Speaker Badge’.
6. WILL MY SESSION BE PHOTOGRAPHED / RECORDED / FILMED?
We have two photographers at the venue. Photos will be made available both during the week for you to use and after the event. Any photography we provide is for use on social media only and not for business purposes.
We have three videographers at the event. One of the WXO team may ask you to make yourself available for voxpops or interviews – please make yourself available art the designated time.
We will record some of the sessions for reporting purposes. No sessions will be reproduced in full digitally.
We are also partnering with The Experience Designers podcast who will approach speakers for interviews over the event.
There will be other non-WXO media outlets reporting at the event.
7. WHAT ARE YOUR ACCESSIBILITY MEASURES?
The ground floor of Ministry of Sound is fully accessible. For further information on access, please email access@ministryofsound.com.
8. DO YOU COVER TRAVEL EXPENSES FOR SPEAKERS?
London Experience Week is a growing but still young event and we are not currently able to cover expenses. We hope to be able to change this in the future as we grow.
9. WHO IS MY MAIN POINT OF CONTACT WHEN I ARRIVE?
Your Room Manager is well equipped to help you with any needs pertaining to your session. However if you need to talk to a particular WXO staffer, your Room Manager will be able to contact them – Ministry of Sound is small and we’ll get to you asap but please understand it’s a busy event.

Please ensure you have confirmed your mobile number with us prior to the event, just in case we need to contact you onsite. Your mobile number is for our production purposes only and will NOT be shared/ passed on to third parties.
10. THE BIG QUESTION – WHAT DO I DO ON THE DAY?
We recommend arriving at the Summit at least 30 minutes before your session start time.
Collect your Summit badge at registration from our Registration team by showing your printed or digital Speaker Ticket.
Arrive at your designated room 15 minutes before your session start time to ensure everything is ready for your presentation.
Your room will be staffed by a dedicated Room Manager who will be able to assist you with any queries. Please make yourself familiar with the route to your room.
Room Managers will be responsible for welcoming attendees and keeping sessions running to schedule. They can also introduce speakers / panel discussions and/or assist with Q&A portions of the programme.
Your room will also have a dedicated AV Manager. Talk to them about your presentation and any special tech requirements. See below for specifics.
We hope your session goes well. Make sure to direct people to reflect on the issues you raise and discuss them after the session – ideally with you! We have allowed 30 minutes after every session for meaningful reflection.
11. DO I NEED TO SEND MY PRESENTATION IN ADVANCE? WHAT RULES ARE THERE?
Yes please! Please ensure these are emailed to hello@worldxo.org by Friday, 17 April.
Ideally you will provide your presentation as a Powerpoint with your fonts, videos etc embedded. Embedded videos should be MP4 format and accessible offline (no URL links) – do not rely on streaming your video.
We need your presentations in 16:9 aspect ratio.
Please don’t use Keynote as we cannot guarantee we will have a Macbook to run your session.
You can also send us a link to your presentation as Google Slides or Canva link – but we’d prefer Powerpoint!
It’s always worth having a backup. Bring a copy of your presentation on a USB stick and, if necessary, as a PDF to ensure any tricky formatting holds.
We will have an intro slide already built for your session using our branding. That means you can simply build your deck how you wish using your own designs and branding.
Our recommendations for presentations are simple.
- Introduce yourself and your topic clearly at the start.
- People will be following YOU – keep slides for illustrative purposes. Engage your audience through eye contact rather than reading notes.
- We recommend conveying only one main idea per slide.
- Use pictures, graphs, and diagrams instead of text.
- Accessibility is key: Use Sans Serif fonts (e.g., Arial, Tahoma) and high-contrast colours. Please use large text (30pt+).
- Use key words (headlines), not full paragraphs. Aim for 5 lines per slide maximum and 5 words per line. Think of the person on the back row.
- Effective speaker presentations require keeping slides concise – we recommend roughly one slide per minute maximum.
- Rehearse until you can deliver the presentation without major mistakes and on time. Speak loudly, slowly, and clearly, varying your tone to maintain interest.
- Apart from workshops, speaking sessions at London Experience Week are 30 minutes in total – that’s 20-25 minutes talking with 5-10 mins for QA.
- Don’t be tempted to skip QA – ours is a professional audience with plenty of questions. Be ready to field them.
- During the QA, listen carefully to questions without interrupting the asker.
- A polite request – please do not exceed time, as this disrupts the entire event schedule. Your Room Manager will help you keep time.
12. WILL MY ROOM HAVE AV BE EQUIPPED WITH AUDIO / VISUAL EQUIPMENT? HOW DO I RUN MY PRESENTATION? WHAT ARE THE TIMINGS?
The AV manager in the room will be responsible for launching your presentation for you. You will then take control of your file, advancing slides with a wireless ‘clicker’.
We can run your presentation from our laptop. Alternatively you can use your own laptop.
If you haven’t sent your presentation in, please provide it via USB memory stick or email on the day
At the lectern you will be able to view any Presenter Notes that are incorporated into your presentation file (these notes will not be visible to the audience or to the other panellists on-stage).
Please note we do NOT have a separate comfort monitor. Be prepared to look at your Presenter Notes if you need to hit key points or refer to quotes, stats etc.
Another option is having your own laptop set up as a comfort monitor (with a text doc using large text) or simple index cards to prompt you.
You will be equipped with a clip-on microphone. There will be additional handheld mics for panels and fielding audience questions. Your Room Manager and AV Manager will advise you on usage.
Your Room Manager will be sat on the front row. If your 30 minute session started at 11:00am:
- 11:00am: You start your session with a brief intro from you, your room manager or your host.
- 11:20am: They will hold up a sign with ‘10’ on it to let you know there are ten minutes left – please start to conclude your talk and be ready to start your QA.
- 11:25am: They will then hold up a sign with ‘5’ on it to let you know there are five minutes left – you should have started your QA.
- 11:28am: They will hold up a sign with ‘2’ on it. You should be saying your thanks – you or your host should guide the audience to a place to reflect and continue the conversation.
- 11:30am: Your session ends.
Please help them and us by keeping to time.
Water will be available throughout the venue. Please bring a water bottle – don’t forget to take yours with you when you go to the lectern to speak!
13. BUT I’M RUNNING A WORKSHOP NOT A STANDARD TALK!
Most workshops and interactive sessions are scheduled to take place in the Baby Box. There we can quickly move chairs and tables, bring in a whiteboard, supply Post-It Notes and Sharpies… Just let us know what you need.
Let us know your requirements by Friday, 17th April but we’ll be able to meet most needs on the fly.
Equally if your talk or panel involves any sort of interactivity, just let us know beforehand and we’ll get it sorted in time for you to start.
14. IS THERE A DRESS CODE?
While London Experience Week is a B2B event, it is a relaxed one. Come prepared to do business, connect with new people and meet new partners. And enjoy yourself! Let that be your guide on what to wear!
15. IS THERE AN AREA FOR NETWORKING AND REFRESHMENTS?
Head to The Courtyard (it’s covered, don’t worry) where there will be coffee and street food available. This is where the majority of networking and reflection will take place.
16. I’M NEW TO THE WXO AND LONDON EXPERIENCE WEEK. WHAT NETWORKING OPPORTUNITIES ARE THERE?

- Sign up for an Experience Safari event via the MeetToMatch app. Experiences are a great way to connect with like-minded people – many of our most famous partnerships have started at a Safari event.
- At the end of Thurs is our famous/infamous Wrap Party with its costume theme. With our Ministry of Sound venue, this year’s party theme being Music – Studio 54, Ibiza 2000, Seventies disco, Nineties rave, Happy Hardcore, Motown… Whatever gets you dancing – and given we’re open to 1am, you will be!
17. HOW WILL MY DATA BE HANDLED?
